2.Matter Recognition Process
The system analyzes incoming emails using multiple signals:
1. Recipient Analysis
- Identifies matter-specific email addresses or distribution lists
- Example: "[email protected]" signals litigation matter involvement
- Recognition of client email addresses linked to specific matters
2. Subject Line Analysis
- Analyzes subject line for matter identifiers (matter numbers, client names, case names)
- Example: "RE: Settlement discussion - Acme v. Smith" identifies Acme v. Smith matter
3. Content Analysis
- Analyzes email body for matter references and context
- Ask Sque analysis of email content to determine matter relevance
- Identification of parties mentioned in email
4. Sender/Recipient Analysis
- Identifies senders and recipients as matter team members
- Links emails from opposing counsel to relevant matters
- Links emails from clients to matters associated with those clients
5. Historical Context
- Analyzes thread history for matter identification
- System learns from prior email organization
- When user has previously filed emails from sender to specific matter, system becomes more confident in future automatic filing
3.Matter Assignment Accuracy
Direct Matches
When matter identification is certain (e.g., email to matter-specific distribution list), system files automatically without requiring confirmation.
Probable Matches
When matter identification is probable but not certain, system files with notification enabling attorney confirmation or correction.
Learning from Corrections
When attorney corrects matter assignment, system learns and improves future assignment.
4.Manual Matter Assignment
Attorneys can manually file emails that the system fails to recognize:
- Right-Click Filing: Right-click on email and select "File to Matter"
